Mental Health electronic notes in the South Island region - who is using what?

This is a post for @nz-si (the NZ South Island group).

I know many people in the South Island are working on ways of making Mental Health notes electronic. I’m interested in hearing what areas are currently using electronic notes, especially for progress notes, and what systems they use.

I recall some discussion of some mental health services doing progress notes in HCS - possibly in Nelson Marlborough? I’m interested to hear more of how this is working and any challenges faced.

Hi Damon,

John will be the man to tell you.

We have mental health records on HCS CDV tree behind the break glass. Nelson Marlborough has unilaterally removed the break glass.

I am not sure the progress notes are in the CDV tree though. We do have progress notes in HealthOne and there is no technical reason
they can’t use those. They just need an create button and the record is safe behind the H1 break glass.

Hi Damon

Canterbury Mental Health uses SAP for its electronic clinical documents including notes and has been doing so now for 20 years. All community progress notes are copied to HCS under the mental health node but inpatient notes are not.

Yep,

Thanks John,

Do the electronic progress notes cc to HCS?

This conversation will be reflected in discourse the national platform for informatics.

BTW did you see my CDI CDHB was a causality to Ms Ward’s belief that I am not whole of system.

Hi Martin

Yes but only the community progress notes are copied to HCS. We made a decision not to do this for inpatient notes due to the high volumes and lower value to users outside mental health. Also considered the impact of flooding the CDV and adding to the dilemma of vast quantities of notes but not necessarily the smarts to find the information needed.

John

that’s great and very logical.

Thanks John

NelsonMarlborough has been really concerned about the safety issues when mental health notes and prescribing are not available to other clinicians e.g. ED.
We’re also trying to get mental health back into the fold of “health”. Descartes has a lot to answer for!

The audit of notes access is there still.

Hi Damon,
A message from our MH team here at NMH -
NMDHB Mental Health do have an electronic progress note in HCS however it is a SMT form which is now end-of-life software and lacks key functionality eg. ability to search/easily locate information. We are also keen to identify a solution, perhaps we could raise this via the South Island eMental Health Advisory Meeting?

Damon, we’ve (as you’ll know from CILT) just completed Mental Health Progress Notes as a Care Pathways form - just in the final stages of validation. THis may be applicable to other areas though is light on the ability to capture data (text only) so may not be intrinsically suitable for other area in its current form

Hi Bev,

Would be interested to hear what other types of content you were thinking of capturing. The business need we were working to was around specifically text based progress notes but other options are available if they will provide value.

Yep and a lot of GP work is around mental health. as you know from CILT H1 is attempting to capture these for the record as well. It will take time and maturation
